AI for Insurance Agencies: What’s Hype vs. What Works

If you’re feeling a little behind on all the AI talk — you’re not alone.

At Archway, we talk to agency owners, CSRs, producers, and ops managers every week who are interested in AI… but not sure where it fits into their agency, or even what it really means.

This guide is built just for you.

No fluff. No tech talk. Just real answers for insurance professionals who want to get started — but don’t want to feel overwhelmed.

So, What Is AI, Really?

AI (artificial intelligence) just means technology that can make decisions, answer questions, or generate content based on what you give it. The most common form right now is something called “generative AI” — like ChatGPT or Microsoft Copilot — which helps you draft emails, summarize notes, or pull insights from data.

You’re probably using AI already and don’t even know it. If you use Gmail or Outlook and it suggests the next word while typing — that’s AI.

What Can AI Do in an Insurance Agency?

Great question. Here are some specific examples we’ve seen work in agencies like yours:

  • Draft client emails faster (with tools like Microsoft Copilot or ChatGPT)

  • Summarize meetings or client calls (using Otter.ai or Zoom’s transcript features)

  • Flag potential cross-sell opportunities buried in your AMS

  • Handle basic quote requests or FAQs through a chatbot on your website

  • Clean up messy data (AI can help find inconsistencies in client files)

  • Translate client documents into simpler language or even into other languages

Do I Need to Buy New Software to Use AI?

Not necessarily.

Start by checking the tools you already use. A lot of AI features are already built into Microsoft 365, Google Workspace, VoIP platforms like RingCentral, or Zoom.

You can also use free or low-cost tools like:

  • ChatGPT for drafting responses or brainstorming content

  • Otter.ai for automatic meeting transcripts

  • Canva’s Magic Write for social content ideas

  • Grammarly for AI-powered writing suggestions

Where Should I Start?

Here’s a super simple plan:

  1. Pick one task that takes too long
Example: “We spend too much time drafting similar emails.”

  2. Try using AI to speed that up
Use ChatGPT or Copilot to generate a draft. Review it, tweak it, and see how it feels.

  3. Ask your team what slows them down
You’ll probably hear things like: “Following up after client calls” or “Translating coverage details into plain English.” AI can help with those too.

  4. Start small, keep it simple
You don’t have to automate your entire agency. Just find one thing that makes your day easier.

What If I Don’t Feel “Techy” Enough?

That’s okay. You don’t have to be.

Most AI tools today are built to understand plain English. You type a question or command the same way you’d email a coworker. It’s more like talking to a smart assistant than coding.

And if something doesn’t work? You haven’t broken anything — just try a different prompt or tool. There’s no risk in experimenting.

What If I Want Help?

That’s exactly why we’re running #AIApril here at Archway.

  • Walk you through a simple starting point

No pressure. No sales pitch. Just a friendly chat to help you feel confident taking the next step.

Request your free consult here — we’re only opening 10 spots.

Final Word

You don’t have to go all-in on AI. You don’t need to be a tech expert.
You just need a place to start.

If that’s where you’re at — this is your sign.
